PDF vs Word: When to Use Which

Understanding both formats helps you choose the right one—and when to convert between them.

Two Formats, Different Jobs

Documents

PDF (Portable Document Format) and Word (DOCX) both represent documents, but they serve different purposes. PDF is best for sharing and preserving layout: it looks the same on every device and is ideal for contracts, forms, and final versions you don’t want changed. Word is best for editing and collaborating: you can change text, apply styles, and use track changes. When you receive a PDF but need to edit it, converting PDF to Word is the practical solution.

When to Use PDF

Use PDF when you want a fixed, shareable snapshot: signed agreements, official forms, reports for distribution, or anything that should look identical for everyone and not be easily edited. PDFs are also common for e-books, manuals, and documents that need to be printed. They’re widely supported and don’t require the recipient to have Word. The downside is that editing is awkward—hence the need for PDF to Word conversion when you do need to make changes.

Many organizations send and receive PDFs; when you need to modify the content, converting to Word is the first step.

When to Use Word

Use Word (DOCX) when you’re drafting, editing, or collaborating. Word is the standard for writing documents that will change: proposals, essays, contracts-in-progress, and templates. You get full control over text, formatting, and structure. When someone sends you a PDF and you need to edit it, convert it to Word, make your changes, and then you can save as Word or export back to PDF. Word files are also easier to version and merge (e.g. combining feedback from several people).

Converting Between Them

Word to PDF is the reverse—you do that in Word (or Google Docs) via “Save as PDF” or “Export.” So: need to edit a PDF? Convert it to Word. Need to lock a Word doc for sharing? Export it as PDF. CandlyConverter focuses on the first step so you can get from PDF to editable content quickly and for free.
